    Summary Role: Accounts Payable Administrator

    Westport Properties continues to grow rapidly and we are seeking an Accounts Payable Administrator with a solid working knowledge in full cycle Accounts Payable processes and has proficient knowledge in basic accounting entries. The Accounts Payable Administrator is responsible for the timely and accurate processing of invoices and adherence to departmental and company policies, assists others in resolving routine issues, and provides support to the Accounts Payable Manager. The ideal candidate will have a minimum of two (2) years of Accounts Payable experience and must have positive attitude, excellent communication and interpersonal skills.

    The qualified candidate will also have a proven successful track record in an accounting type role handling the day-to-day Accounts Payable functions and responsibilities while maintaining good communication and reporting relationships with multiple departments, field management, and Company Personnel at all levels.

     

    Key Functions & Areas of Responsibilities:

    • Review invoices for appropriate documentation and enter invoices, approximately 100-120 invoices/day
    • Work with the AP Manager to ensure timely and accurate processing of all invoices and escalate issues as necessary
    • Assist the AP Manager to reconcile vendor statements, research and correct discrepancies
    • Communicates with Operations and Home Office management to ensure prompt and correct processing payment of invoices
    • Follow established standards and procedures for processing and prioritizing work and performing tasks
    • Knowledge of Yardi accounting software a plus
    • General administrative tasks such as filing, document scanning, etc.
    • Periodic special projects and duties may be assigned based on Company need and requirements
    • Regular worksite attendance in accordance with Company’s Attendance Policy is required for this position

      • Must be able to perform a variety of duties, often changing from one task to another, with frequent interruptions or distractions and within tight deadlines

     

     

    Qualifications Required:

    • Minimum two (2) years of progressive accounts payable and accounting
    • Proficient knowledge of Accounts Payable cycle
    • Proficient in Microsoft Office Suite - Word, ability to type 60-65 wpm, use 10-key by touch, Excel, and Outlook with advanced skills in Excel highly preferred
    • Understanding of basic accounting entries. Yardi accounting software and/or AvidXchange experience is a plus.
    • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness
    • Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
    • Ability to understand and convey Company Policies and relevant industry standards
    • Ability to handle all office related matters with confidentiality and in a timely manner
    • Ability to effectively communicate while exercising diplomacy, sound judgment and tact  
    • Ability to deal effectively with co-workers, department supervisors and managers, insurance brokers, insurance company representatives, attorneys, and other consultants and/or vendors

    Education

    • High School Degree or Equivalent is required
    • Some College Education and/or College Degree in Finance/Accounting from an Accredited Institution is preferred
    • Minimum two (2) years of relevant years of work experience in Accounts Payable

     

    Physical Demands

    • Stationary Position: frequently remains stationary up to 90% of the time and sitting up to 8 hours in a day
    • Move/Traverse: infrequently bend, stand, stoop and/or walk
    • Carry Weight: infrequently carry weight and/or lift objects (light to heavy) weighing up to 10 pounds
    • Hearing and Speech: frequently communicates with the ability to hear and talk on a regular basis with employees, coworkers, and all personnel matters; must be able to exchange accurate information in these situations
    • Sight: frequent use of sight to detect images on computer, office documents, and office objects near and far
