    Position Status:                             Permanent and Full-Time (40 Hours Per week)

    Work Schedule:                             8:00AM-5:00PM Monday-Friday (1 hour daily lunch)

    Base Salary Range:                       Commensurate with Experience  

    Travel:                                             Up to 5% of the time within Southern CA limits (LA, OC, Riverside, San Bernardino counties)

    Summary Role: Human Resources Administrator

    Westport Properties continues to grow rapidly and we are seeking a Human Resources Administrator with a strong background in HR and administrative functions. The qualified candidate will have proficient knowledge in an administrative support role and high organizational skills in order to handle the day-to-day administrative functions and responsibilities while maintaining good communication and reporting relationships with multiple departments, field management, and Company Personnel at all levels. A proactive self-starter with a positive, can-do attitude is a must in order to embrace the Collaborative Team Culture environment. This position requires excellent administrative skills to assist the HR Department and Company propel with upward momentum of growth and expansion on a national, multi-state level.


    Key Essential Functions & Areas of Responsibilities:

    • Assist the HR department to perform administrative functions with strict confidentiality, executing with minimal direction, and provide clerical support at the highest level
      • Monitor the HR Department email and forwards to appropriate HR contact as necessary
      • Maintain HR Department e-file database, create/update physical New Hire files, and purging of physical Term files
      • Maintain clear communications about upcoming Company events through the creation of event flyers to be posted on the HR bulletin board
      • Work closely with the HR Department to provide event planning support to upcoming company events (update Monthly HR Calendar to include event planning for quarterly Birthday Celebrations, mid-year Company picnic, Home Office celebrations/events, year-end Holiday events, etc.)
      • Maintain communication and update HR vendor files & billing invoices filing
    • Assist the HRCS with compliance related tasks
      • Conduct time sensitive filing & audits (i.e. I-9, New Hire, On-boarding files, Benefit Enrollments/Terminations, HR Personnel files)
      • Process Orders on New Property Conversion To-Do Checklist (Labor Posters, First Aid Kits)
      • Track & File Monthly Safety Quizzes
    • Provide back-up support to Front Office Administrator
      • Provide coverage as necessary for Front Desk Reception area (answering phone, greeting visitors, routing calls/visitors to appropriate Company contact, opening mail, parking validations, etc.)
      • Handle various administrative projects (i.e. accounting tasks, FedEx and other mailing requests, and Executive requests) as assigned while working independently with minimal supervision
      • Assist Front Office Administrator with the scanning of Invoices as they come in daily
      • Ability to independently compose memos, letters and other correspondences, as needed
    • Regular worksite attendance in accordance with Company’s Attendance Policy is required for this position
    • Other Duties as Assigned
      • Periodic special projects and duties may be assigned based on Company need and requirements
      • Must be able to perform a variety of duties, often changing from one task to another, with frequent interruptions or distractions and within tight deadlines

    Qualifications Required:

    • Required - Minimum 2+ years of solid clerical and organizational skills in an administrative role in a dynamic, high volume, fast paced work environment
    • Highly preferred - 1+ years of relevant experience in HR related legal, regulatory, compliance programs, and/or general audits
    • Proficient in Microsoft Office Suite - Word, Excel, and Outlook with advanced skills in Excel highly preferred
    • Relevant experience in event planning
    • Ability to understand and convey Company Policies and relevant industry standards
    • Ability to handle all Company matters with strict confidentiality, efficiency, and attention-to-detail accuracy while meeting important tasks and/or conflicting project deadlines
    • Ability to effectively communicate while exercising diplomacy, sound judgment and tact
    • Ability to deal effectively with co-workers, department supervisors and managers, investors, vendors, and/or visitors
    • Ability to work flexible hours depending on various departmental project deadlines and/or Company events and sponsored programs (including a few late evenings and weekend events may be required)

    • Some college required
    • Preferred Bachelor’s degree in Business Administration or Human Resources or equivalent from an accredited college or university
    • Notary license and/or HR certification preferred
    • Relevant years of work experience and/or a notary license/certification may substitute for the degree requirement


    Physical Demands

    • Stationary Position: frequently remains stationary up to 90% of the time and sitting up to 8 hours in a day
    • Move/Traverse: infrequently bend, stand, stoop and/or walk
    • Carry Weight: infrequently carry weight and/or lift objects (light to heavy) weighing up to 10 pounds
