Job Title:                 Assistant Project Manager
Reports To:             IT Manager
Direct Reports:       None

Department:           Information Technology (IT)

Location:                 Home Office - Irvine, CA

FLSA Status:            Exempt

Position Status:      Permanent, Regular Full Time              

Work Schedule:      Monday – Friday (Subject to change based on project assignments/deadlines)

Base Salary Range: Commensurate with Experience (salary range $50k - $60k)

Travel:                     Up to 25% of the time in state; may include occasional out of state travel

Summary Role: Assistant Project Manager

The role of the Assistant Project Manager is one with a background in a Project Management in a functional technical role with a proficient knowledge in Microsoft Project or Project Management software. The qualified person for this position will have a proven successful track record in a supportive role handling the day-to-day IT Project management functions and are responsible for maintaining good communication and reporting relationships with multiple departments, field management, and Company Personnel at all levels.

 

Key Essential Functions & Areas of Responsibilities:

  • Communicate and follow up with vendors, Management teams and Field Operations about specific projects and business objective goals
  • Prepare written estimates for each project based on labor, materials, equipment and other expenses
  • Visit project sites to evaluate progress and to respond to Management Teams’ concerns and/or questions
  • Coordinate with suppliers and vendors to ensure our Field Operation teams have the IT services they need
  • Must have excellent communication skills to clearly communicate between IT Team, Field Operations, and Management about project development, deadline delays and/or any other issues that must be addressed
  • Create, draft, and revise Company Digital SOPs, IT related manuals or Operational How-to-Guides
  • Regular worksite attendance in accordance with Company’s Attendance Policy is required for this position
  • Other Duties as Assigned
    • Periodic special projects and duties may be assigned based on Company need and requirements
    • Must be able to perform a variety of duties, often changing from one task to another, with frequent interruptions or distractions and within tight deadlines

 

Qualifications Required:

  • Minimum two years’ experience in assistant project management role
  • Proficient knowledge of Project Management
  • Proficient in Microsoft Office Suite - Word, Excel, and Outlook with advanced skills in Excel highly preferred
  • Relevant experience in matters related to IT and Telecommunications.
  • Ability to understand and convey Company Policies and relevant industry standards
  • Ability to handle all telecommunications with confidentiality and in timely matter
  • Ability to analyze and configure data for reporting purposes
  • Ability to effectively communicate while exercising diplomacy, sound judgment and tact
  • Ability to deal effectively with co-workers, department supervisors and managers, insurance brokers, insurance company representatives, attorneys, and other consultants and/or vendors
  • Ability to work flexible hours depending on various departmental project deadlines and/or Company

Education

  • High School Diploma required
  • Some college required
  • Preferred Bachelor’s degree with a concentration in Information Systems, Project Management or equivalent from an accredited college or university
  • Certified Associate in Project Management (“CAPM”) or Project Management Professional (“PM”) preferred
  • Relevant years of work experience and/or a Project Management license/certification may substitute for the degree requirement

 

Physical Demands

  • Stationary Position: frequently remains stationary up to 90% of the time and sitting up to 8 hours in a day
  • Move/Traverse: infrequently bend, stand, stoop and/or walk
  • Carry Weight: infrequently carry weight and/or lift objects (light to heavy) weighing up to 10 pounds
  • Hearing and Speech: frequently communicates with the ability to hear and talk on a regular basis with employees, coworkers, and all personnel matters; must be able to exchange accurate information in these situations
  • Sight: frequent use of sight to detect images on computer, office documents, and office objects near and far
